Consider that more than one company is loaded (selected) in Tally (eg., TSPL (HO) and ABC & Company). Assuming the user is in the voucher entry screen of TSPL (HO), but wants to pass a payment voucher for ABC & Company; Tally provides the flexibility to do so from the voucher screen itself

Press F3:Company and from the List of companies, select ABC & Company to change to Current Company and press Enter.

The voucher screen displays ABC & Company now select the ledgers and when saved, it is updated in ABC & Company.

After saving the voucher, Tally returns to TSPL (HO) voucher entry screen.

Note:
Using this feature in Tally, the user can copy (export) a voucher to another company, or copy the voucher and alter the information in the destination company. The master from within the voucher can also be copied to the new company. Use Ctrl + Enter to bring up the ledger alteration (secondary) screen.

Tally provides the following options in Voucher Type.

1. Voucher Numbering for a particular voucher type can be set in any of the following ways: Automatic, Manual or None.

a)      Automatic:  Once set, vouchers are numbered sequentially. If required, the user can set the starting number from the middle of a sequence. For example, the starting number can be from 45 onwards.  This feature is useful to record transactions in Tally that commence in between a period.

b)      Manual: This option helps to check duplicate voucher numbering in the following manner. Consider, voucher numbering is set to manual, a voucher called V.No.99 is entered, and Prevent Duplicate is set to Yes.  If the next voucher entered contains the number already saved (V.No.99), then Tally alerts the user.

    The second entry that has the same voucher number.

c)       None: Voucher numbers will not be generated when this method is selected. The user need not specify any manual number either.

In Tally, the user can specify the narration for each ledger in a voucher in addition to the default common narration. The user can choose any of the following options.

a)      Narration for each entry and common narration.

What if you need to create two or more companies with same F11: Features and F12: Configuration settings?

1)       Create a company

2)      Set F11: Features and F12: Configuration as desired

3)      Keep the company loaded and create another company.

4)      The new company will have the same settings.

In this example, TSPL Bangalore was created after loading TSPL Chennai.

TSPL Bangalore inherits all the F11: Features and F12: Configuration settings of TSPL Chennai, automatically.

Did you know…?

1)      To hide a group, ledger / stock item in a summary view, simply press Alt + R .

2)      To recall all the hidden line press Alt + S.

Did you know…?

Tally does not allow you to delete multiple transactions at once.  You must delete one transaction at a time.  Select the desired voucher and press enter to display the voucher in "Voucher Alteration (Secondary) and press 'Alt + D' and press 'Y' or enter to delete the voucher.

Alternative you can highlight the transaction and press "Alt + D" to delete the voucher.

Note: Once the voucher is deleted, it is gone for ever, you do not have undelete or recycle bin concept.

After I posted these post on Pirated tally ( I am amazed by the number of people sending me emails actually inquiring about Tally 9.

I have emails from their official ID asking for where can I get Pirated Tally 9 , where can I get Crack for Tally 9. Do they not fear what they are asking is against the law and also crime. Do they not fear that Pirated Tally

It is your important data, most critical data and if you want to learn you still using the education version. All functionality and reports will work on it. You can view data from a legal copy as well in the education mode and run all reports. If you have laptop and carry work home I would suggest you can have a education copy there and work at home as well though you would not be able to enter data except on 1^st and 2^nd of every month but still can view all the data and I think that should be enough to get you working.

All reports and documents generated in Tally can be published on your website. Tally can create reports in HTML format and upload the same directly to your website. For example, use this feature to inform your customers about the new price-range and stocks available for sale on your website. Tally uses the highest standard of data encryption methods to ensure security of data.

Uploading Reports on the Website

A website is a specific directory space allotted to you on that server. Protocols are set of rules and specifications on how data and files are transferred over a network. They cover all aspects of communication between computers including content, formatting and error control.

To publish a report, statement or data generated in Tally, upload it to an Internet Server that has been configured to accept files in the specific protocols.

Example: To publish your company's balance sheet on your website:

1. Go to Gateway of Tally > Balance Sheet.
   
2. Click the Upload button from the button bar or press Alt+O.
   
3. The first time you upload, you will have to enter the required information on the screen displayed. The field Upload to has two options:
   

• FTP Site
  
• Web Page (HTTP/HTTPS)
  

FTP Site

This site accepts files transfers in File Transfer Protocol (FTP). FTP is a common choice for data or file transfer to a website. Select this option unless your site accepts HTTP or HTTPS uploads.

Web Page – HTTP/HTTPS

Hyper Text Transfer Protocol (HTTP) is the standard for transferring HTML files over the Internet. HTTP Servers are pre-programmed to accept HTTP connections. HTTPS sites are servers configured to accept secure connections. They conform to standard security protocols (example: SSL and SET) to ensure that your data and files are not tampered during an upload.

Use this if your server is set up for HTTP/HTTPS or else select FTP.

1. URL: Universal Resource Locator (URL) is the server address where you want to publish your report. For FTP, you will need to know the FTP server name and directory path. The FTP server name is the domain name of the Web server (example: ftp.server.com). The directory path is the folder on the server where the report is stored (example: /public_html). For a web page, an URL is typically in the form www.myweb.com/.
   
2. Secure Server: This option displays when you select Web Page in Upload to field. Use a secure connection when the data is sensitive and your server is configured for it. A secure site is one that has alphabet s following http (https) and the URL in the address bar of your browser displays https://www.______.com.
   
3. User Name (if any): Enter the user-name you need to access the server for uploading.  
   
4. Password (if any): Enter the password
   

Note: Internet servers authenticate your identity before you can put data and files on the site. If you are unsure about your user name, password, or FTP location, contact your Internet Service Provider (ISP).

• Format: You can generate your reports in four formats. To know more about these formats, click on the links given below:
  
  • ASCII (Comma delimited)
    
  • HTML (web-publishing)
    
  • XML (data interchange)
    

Select the type that suits your requirement.

1. Destination File: This option displays on selecting an FTP Site in Upload to field. The default names are displayed. Modify if necessary.
   

Note: Additional options may vary depending on the type of report you want to upload.

1. Print Preview: Use the Print Preview screen through the Print option to view the document before you upload.
   

The E-mail is the most widely used facility on the Internet. It saves time and cost of postage. Use the email feature in Tally to:

• E-mail any Tally report or document like invoices or purchase orders
  
• Post reminder letters and statement of accounts
  

The following example illustrates the use of this feature in Tally:

E-mail a Reminder Letter

To send a reminder letter to a customer by email:

1. Go to Gateway of Tally > Display > Statements of Accounts > Outstandings > Ledger
   
2. Select the customer's/company's ledger from the List of Ledgers
   
3. Click on Email from the button bar or press Alt+M
   

1. The fields on the Mailing Ledger Outstanding form are automatically completed if you have given the required information during creation of the master records. Select No or press Backspace to change/modify the entries. Select Yes to accept.
   
2. The E-mail Server field is highlighted next. This is a mandatory field. The first time you use this feature in Tally, enter the name of your SMTP server, example: mail.btinternet.com. Subsequently, Tally will automatically display the SMTP server name. Refer to your Internet Service Provider (ISP) or network administrator for further queries.
   
3. The From field displays the name of your company entered in the Company Creation screen and stored in the Company Information Master records. You can also modify the default information. Press Enter.
   
4. The From E-mail Address field displays the e-mail address entered in the Company Information Master data. Enter your email address, if you have not done so while creating a company, or if you want to change the id.
   

• Enter the user name and password in Authentication User Name (Only if required) and Password field respectively if the mail server requires authentication.
  
• In the Format field a pop-up screen lists the three formats in which you can generate your email:
  
  • ASCII (Comma delimited)
    
  • HTML (web-publishing)
    
  • XML (data interchange)
    

Select the type that suits your recipient.

1. To E-mail Address field is a mandatory field.
   

It displays the recipient's email address as entered in the Mailing and Related details during ledger creation. Enter the address if you have not done so while creating the ledger or if you want to modify the information.

1. Type the email address of another recipient to whom you want to send a carbon copy of the email in the CC (if any) field.
   

1. The Subject field is filled by default and displays the subject of your mail. You can change it to a subject of your choice.
   

• Any text you enter in the Additional Text field precedes the report in the recipient's mail program. You can use this field to type a message to the recipient.
  
• Additional Options provided in the form are:
  
  • Include Post-Dated Transactions?- Set this option to Yes to include post-dated transactions.
    
  • Show overdue using Bill Date?- Set this option to Yes to show bill date in report.
    
  • Range of Bills to show:- Select all bills or overdue bills to display.
    
  • Format:- Select condensed or detailed format for your reminder letter.
    
  • Show Qty Info in Detailed Format?- This option is selected for the detailed format mode and displays quantity.
    
  • Show bills of the following type:- Select the types of bills from all, credit or debit bills.
    

Note: Additional Options may vary depending upon the type of report you want to email.

1. Print Preview: Use the Print Preview screen to view the document before emailing. This shows how the document appears in the recipient's email

Go to Gateway of Tally > Accounts Info > Ledgers > Create

The ledger creation screen appears as shown below.

1. Enter the name of the Supplier in the Name field.
   
2. Select the group Sundry Creditors in the Under field.
   
3. Set Maintain Balances Bill by Bill to Yes and enter the Default Credit Period
   
4. Inventory Values are affected is set to No
   
5. In the Mailing Details section enter the supplier contact details, Income Tax and the Sales Tax numbers.
   

1. Set Excise Details to Yes to display the Excise Details sub form.
   

1. Enter the Excise Registration Number of the supplier.
   
2. Enter the Range under which the supplier's company is registered.
   
3. Enter the Division under which the supplier's company is registered.
   
4. Enter the division under which the premise of the Supplier's company is registered.
   
5. Select the Default Nature of Purchase from the Nature of Purchase list. The table lists the Type of Purchase, which can be changed during transactions.
   

Note: The Excise Details sub-screen appears for ledgers created under Sundry Creditors and Sundry Debtors only.

Creating Customer Ledger

Creating Customer ledger is similar to that of creating the Supplier Ledger but it should be created under Sundry Debtors.

You can enable Dealer - Excise in Tally, in the F11: Features screen.

Go to Gateway of Tally > F11: Features > Statutory & Taxation

The Company Operations Alteration screen appears as mentioned below

1. Set Enable Dealer – Excise to Yes.
   
2. Set Set/Alter Dealer – Excise Details to Yes.
   

1. The Company Excise Details sub-form appears as shown below.
   

ECC/PAN Based Regn/Code No.: The 15-Digit PAN based registration number is an alphanumeric number mentioned in the Registration Certificate. The first part would be the 10-character (alphanumeric) Permanent Account Number [PAN] issued by the Income Tax Authorities to whom the registration number is allotted (includes a legal person).

The second part comprises a fixed 2-character alpha-code indicating the category of the Registrant. The third part is a 3-character numeric code.

Commissionerate: The Commissionerate of central Excise is the division under which your registered premise is located.

Range

Code: Enter the code of the range under which your company is registered.

Name: Enter the name of the range under which your company is registered.

Address: Enter the address of the Range under which your company is registered.

Division

Code: Enter the code of the division under which your company is registered.

Name: Enter the name of the division under which your company is registered.

Address: Enter the address of the division under which your company is registered.
